Managing Actions
β‘οΈ Actions Overview
Actions are follow-up items that require users to take specific steps or complete tasks. These can either be:
βοΈ Created inside a submission (attached to a specific field)
β Created independently as standalone tasks not linked to a submission
π Accessing Actions
To view or manage actions:
Go to the left-hand side menu and click Actions.
Youβll be presented with a list of actions that are pending by default.
You can:
β Search for an action using the search bar
βοΈ Use checkboxes to select multiple actions to delete or mark complete (based on user permissions)
α½4 Use the pink "Show all actions" toggle to view both pending and completed actions
π Toggle My Actions to view only actions assigned to you or created by you (admin-level feature)
π Action Table Columns Explained
Status
π Shows whether the action is Pending or Complete
Action
π The description of the task to be completed
Action by
π€ The person assigned to perform the action
Template
π If the action is linked to a submission, shows its template name
Priority
β‘οΈ Level of urgency: Low, Medium, High
Due Date
π The deadline by which the action must be completed
Ageing
β³ Number of days the action has been pending since due date
Location
π If applicable, the location attached to the linked submission
Set By
π₯ The user who initially created the action
βοΈ Editing and Managing an Action
To manage an existing action:
Click on the row of any action to open the Action Info panel
You can:
Update the description, assignee, due date, priority, and location
π· Upload a file/image as proof or reference
βΆοΈ Click Go to Submission if the action is linked to a submission
β Mark the action as complete using the top-right green tick
β Delete the action using the red bin icon (if allowed by permissions)
β Adding a New (Standalone) Action
You can create independent actions not linked to any submissions:
Click Add Action
Fill in the following:

Due Date π

Location (optional) π
Upload supporting files if needed π·
Permissions apply here. You must belong to a group with Action Add rights to perform this.
