⚑️ Actions Overview

Actions are follow-up items that require users to take specific steps or complete tasks. These can either be:

  • ✍️ Created inside a submission (attached to a specific field)

  • βž• Created independently as standalone tasks not linked to a submission

To view or manage actions:

  1. Go to the left-hand side menu and click Actions.

  2. You’ll be presented with a list of actions that are pending by default.

You can:

  • ⌚ Search for an action using the search bar

  • β˜‘οΈ Use checkboxes to select multiple actions to delete or mark complete (based on user permissions)

  • ὓ4 Use the pink "Show all actions" toggle to view both pending and completed actions

  • πŸ“… Toggle My Actions to view only actions assigned to you or created by you (admin-level feature)

✍️ Editing and Managing an Action

To manage an existing action:

  • Click on the row of any action to open the Action Info panel

  • You can:

    • Update the description, assignee, due date, priority, and location

    • πŸ“· Upload a file/image as proof or reference

    • ▢️ Click Go to Submission if the action is linked to a submission

    • βœ“ Mark the action as complete using the top-right green tick

    • ❌ Delete the action using the red bin icon (if allowed by permissions)


βž• Adding a New (Standalone) Action

You can create independent actions not linked to any submissions:

  1. Click Add Action

  2. Fill in the following:

    • Action Description ✍️

    • Assign To (user)

    • Due Date πŸ—“

    • Priority Level ⚑️

    • Location (optional) πŸ“

    • Upload supporting files if needed πŸ“·

Permissions apply here. You must belong to a group with Action Add rights to perform this.
