Template Designer Walkthrough

Welcome to the Template Designer walkthrough on how to create Audit Templates in Storecall. In this guide, we'll take you through every step needed to design a complete audit workflow using the Template Designer. We will also cover importing/exporting template sections and using key features in the designer to optimize your setup.


✨ Getting Started

To create a new audit type template:

  • Navigate to the sidebar and click Templates ▼ > Create Template

You will be prompted with a popup to choose the type of template you'd like to create. Storecall supports 3 template types:

  • Audit — For checklists and evaluations (e.g., store manager daily checks, regional visit forms)

  • Log — For process-based workflows that may involve multiple users over time

  • Approval — For submitting and tracking requests (e.g., leave, item returns, or discounts)

⚠️ For this walkthrough, we'll focus on Audit Templates.


📄 Template Setup

Once "Audit" is selected, you will be prompted to configure the template.

Basic Info

  • Template Name: Provide a name that clearly defines the template’s purpose

  • Description: Optional; helps your team understand the context or use-case

  • Category: Select or create a category for better organization of templates

Template Access

  • Templates are restricted to User Groups, which are predefined by your organization

  • Select one or more groups that should have access to use this template

Submission Settings

  • Auto Email Notify Users: Select internal users to automatically receive a submission PDF + any attachments

  • Question ID: Pick a question to act as the unique identifier for each submission (e.g., vehicle reg number)

  • Email Report to Location: If a location has an email linked, it can automatically receive submission reports

  • Save User's Location: Enable geolocation to auto-tag where the submission was made

  • Default to Closed: Auto-close the submission once completed (read-only afterward)

  • Require Signature: Add signature fields for the submitter and/or the location manager


📂 Import & Export Sections

To speed up template creation, Storecall allows you to import/export your template sections:

  • Import Sections: Upload an Excel sheet with your questions and fields pre-formatted

  • Export Sections: Download your current sections to Excel for edits or duplication across templates

This is perfect when working with bulk field creation or replicating best practices.


🔄 Template Designer Layout

Each audit template is made up of Sections, and each section contains Questions/Fields.

Adding Sections

Click New Section to define a logical grouping of questions (e.g., "Store Entrance", "Receiving", etc.)

Adding Fields

Within each section, click New Field to add a question. Each field has:

  • Name: Your question or prompt (e.g., "Are store posters up to date?")

  • Field Type: Select the answer format (e.g., Text, Yes/No, Rating, Date, Image)

  • Click the info icon ℹ️ next to field types to preview how each works

Field Settings

You can configure the behavior of each question:

  • Mandatory: Makes the question required

  • Allow Files: Allows users to upload supporting documents/images

  • Allow Actions: Users can create an Action from the question (e.g., flag for follow-up)

  • Scorable: Include this question in the submission's overall score

  • Allow Comments: Enables comment thread on the question

🧮 Field Scoring for Yes/No Fields

For Yes/No question types, Storecall allows you to configure how the field should contribute to the submission score:

  • Mark field as scorable by rating This enables the person completing the submission to manually assign a rating score for that field, typically using a 5-star system.

  • Auto score field based on answer The system will automatically assign a score:

    • Yes = Full score

    • No = Zero score This option is ideal for checklist-type items where compliance is binary and scoring should be consistent.

  • Not scored Choose this if the field should not contribute to the overall submission score. Use this for informational or optional responses.

These options give you flexibility to mix objective and subjective scoring depending on the context of your audit or operational workflow.

Advanced Settings

Tailor complex behavior:

  • Trigger Submission Closed: If all fields with this enabled are answered, auto-closes the submission

  • Make Field Read Only After Filled: Prevent edits once answered

  • Override Edit Rights: Allow specific users to edit even after the field is locked


🔧 Use Case: Audit Template

Let’s say you are creating a "Regional Store Visit" audit template. It might include:

  • Section: Store Entrance

    • Rate neatness and cleanliness (Rating + Text)

    • Upload store image (Allow File)

    • Action: "Entrance dirty" for follow-up

  • Section: Chiller & Freezer

    • Are all units operational? (Yes/No)

    • Temperature logs checked? (Yes/No)

    • Require signature from store manager

✅ Once you’ve configured your sections and fields, hit Save Template to publish.
