Creating a New Submission
Storecall makes it easy for your team to capture structured data in the field or during daily workflows using submissions. This guide walks you through how to create a new submission using an Audit-type template.
π’ What is a Submission?
A submission is a record of a checklist, workflow, or form completed by a user against a specific template. In Storecall, you use submissions to record audits, log operational issues, or initiate approval workflows.
There are 3 types of templates:
Audits: e.g., Regional store visits, daily checklists
Logs: e.g., Fault reports, maintenance issues
Approvals: e.g., Leave requests, discount requests
β οΈ Note: Only audit and log submissions are linked to a specific location. Approvals are not location-based.
π Starting a New Submission
Navigate to:
Submissions > New SubmissionYou can:
Select a template from your favourite templates, or
Use the dropdown to select from all available templates
For this example, choose an Audit-type template like "Regional Store Visit"
You will be prompted to select a location
Click Start Submission to begin
π Completing the Submission Form
Once inside the submission form:
Header Cards
Location: The selected location the submission applies to
Created: The date and time the submission was initiated
Answering Questions
Templates are structured into sections with questions
Each question may:
Be mandatory
Require a specific answer type (text, yes/no, rating, etc.)
Allow you to upload supporting files (images, PDFs, etc.)
Allow actions to be assigned for follow-up
Enable comments for further clarification
β Storecall saves your progress automatically in your browser. If you're disconnected or not ready to submit, your draft appears under
Submissions > Unpublished.
Actions
Click New Action to assign a follow-up task on any question
You can assign actions to another user
Email notifications are automatically sent and reminders follow daily
Comments
Add a comment for extra context
Click the
+button to confirm it is saved
Attachments
Upload files by clicking the Upload button next to the field
Signatures (if enabled)
If the template requires it, you or another party may be prompted to sign at the end of the submission
πΉ Submitting Your Form
Once you've completed all required fields:
Click Complete Submission
Storecall will:
Validate the form
Generate a PDF report
Email relevant recipients configured in the template
Attach any uploaded files
Trigger assigned actions
π Email Notifications & Reporting
When a submission is completed:
Storecall will check if the template has auto-email rules set
A PDF report of the submission is emailed to designated internal users or linked location email addresses
Any attached files and action items are included
This ensures real-time visibility and follow-up, helping teams stay accountable and efficient.
